Module in focus: Property management

At the bottom of good property management lies a good registration of your property assets. Only then will you be able to properly carry out your strategic, financial, management and maintenance plans. The TOPdesk Property management module enables you to register all your buildings, terrains and storage using detailed specifications.

Managing your property

Property management is one of the core tasks of a facilities organisation. All kinds of processes are related to property assets: room management, real estate management, operational tasks, major and minor repairs, cleaning, long-range planning, etc. Managing, registering and providing good insight into this information is therefore very important.

Registering relevant data

TOPdesk distinguishes between buildings, terrains and storage. Relevant data are stored on cards that help you deal with daily activities, reports and KPIs. Relevant data, such as the capacity and design of a room, or the surface area and materials used, can be directly accessed in order to for example plan maintenance activities, make contracts with suppliers or carry through changes in your infrastructure.

Insight

Property management involves all kinds of activities and disciplines. It is therefore a real challenge to keep track of which activities have been planned and by whom they are carried out.

All daily activities need to be coordinated. In TOPdesk this can be done by a so-called workflow, which provides a clear overview of who is responsible for which task. By means of work orders the right people can be sent to carry out the tasks.
Gaining insight into the operational tasks and events is essential for making tactical and strategic decisions. Creating reports and KPIs can support this process. The data that are registered in TOPdesk can be presented clearly in management reports.

Integration with other processes

The Property management module is compatible with all other process modules in TOPdesk. This makes planning and controlling your daily activities very easy. Because of this integration with other modules, you have a clear insight into which incidents, contracts, reservations, capacity utilisation, persons or company items are – or were – linked to one particular room.
